What is order processing?

Order processing is the behind-the-scenes workflow that ensures a customer’s purchase is successfully completed, from the moment the order is placed to when it arrives at their door. It involves verifying payment, checking inventory, picking and packing the product, shipping it, and updating the customer throughout the process. When customers see “order processing” as their order status, this is the stage their purchase is in.

In ecommerce, order processing is the front-end stage of the broader order management workflow, and it depends on the payment processor confirming the transaction before fulfillment can begin. A well-structured system reduces errors, prevents delays, and helps retailers handle order volume smoothly, especially during peak sales periods. For subscription brands, the same workflow runs every time a recurring order is generated, not just on one-time purchases.

Order processing software

Modern order processing software automates many parts of the workflow. It connects to your ecommerce platform, inventory systems, and shipping providers to:

  • Automatically capture orders
  • Update stock in real time
  • Print shipping labels
  • Send order status updates to customers
  • Track shipments and manage returns

Using automation reduces manual errors and speeds up fulfillment, especially for businesses scaling across multiple sales channels.

Order processing strategies

To optimize order processing, businesses can:

  • Integrate inventory and order systems for real-time updates
  • Set up automated fraud checks
  • Choose fulfillment centers based on proximity to customers
  • Batch process orders for efficiency
  • Use barcode scanning for accurate picking and packing

Once payment is confirmed and the order is validated, processing hands off to order fulfillment, where the product is picked, packed, and shipped.

Example of Order processing

A customer places an order on a Shopify store. The order processing workflow then runs in sequence:

  • The order is captured in the merchant’s system.
  • The payment processor verifies the card and confirms the transaction.
  • Inventory is checked and the item is reserved.
  • A shipping label is generated and the warehouse is notified to pick and pack.
  • The customer receives an order confirmation and tracking link, often within minutes.

Driftcharge Tip

Efficient order processing can significantly reduce delivery times and increase customer satisfaction. Automate wherever possible to scale without compromising accuracy.
