What is an order management system (OMS)?

An order management system (OMS) is a digital platform that automates and coordinates every step of the order process, from when a customer places an order to final delivery. It acts as the operational hub that connects inventory, payment, shipping, and customer service tools to ensure smooth and accurate fulfillment.

In ecommerce and retail, an OMS is the software layer that operationalizes order management as a workflow. It handles real-time inventory, syncs orders across multiple sales channels (like Shopify, Amazon, or physical stores), and prevents issues like overselling or backorders. For subscription brands, the OMS also needs to integrate with the subscription management platform so recurring orders flow into the same fulfillment pipeline as one-time purchases. By streamlining order flow, it enables businesses to deliver a faster, more reliable experience, especially during high-volume or multi-channel operations.

Order management system features

Key features of a robust OMS include:

  • Centralized order tracking from all sales channels
  • Real-time inventory syncing
  • Integration with payment and shipping providers
  • Automated order routing and fulfillment
  • Return and refund management
  • Analytics and reporting dashboards
  • Customer communication tools (e.g., order confirmations, tracking links)

Example of how an OMS works

When a customer places an order via a Shopify store, the OMS checks inventory, processes payment, selects the best fulfillment center, sends a pick-and-pack request, updates the customer with tracking info, and marks order fulfillment complete, all automatically. For a subscription brand, the same flow runs every time a recurring order is generated, not just on one-time purchases.

Driftcharge Tip

Choose an OMS that integrates smoothly with your sales channels, warehouses, and customer support tools. This will ensure a consistent, efficient, and scalable fulfillment process.
